Privacy Policy

Due to the nature of our work, we split this Privacy Policy into two parts.
Section 1 relates to your personal data (contact details, etc.) that you exchange with us in the process of establishing a business relationship with https://www.transpatents.com/.
Section 2 relates to the personal data that may be present in the documents you provide to us for translation.

SECTION 1: YOUR PERSONAL DATA

Https://www.transpatents.com/ acts as a data controller and as such has contractual reasons for receiving and storing the personal data you provide to us as an individual or legal entity. We only collect basic personal data about you, which does not include any special types of information or location-based information. However, this data includes name, business or personal email address, business or personal address and one or two telephone numbers (landline and/or mobile).

How we collect your data

Https://www.transpatents.com/ only collects your data directly from you. We do not involve third parties in providing your personal data.

Why we need your data

We only need basic personal data to keep you informed about the progress of your translation order. We will not collect personal data from you that we do not need.

What we do with your data

All personal data we process is processed by us in order to contact you when the order is completed. Third parties do not have access to your personal data unless the law allows them to.
We have an Information Protection Policy to control the effective and secure processing of your personal data.

How long we retain your data

We shall retain you data as long as necessary to achieve the purposes for which it was collected. Under the Accountancy Act, for example, we are required to retain your basic personal data (name, address, contact details) for up to ten years, after which it will be destroyed.

What are your rights

If at any time you believe that the information we are processing is incorrect, you can ask to see that information and have it corrected or request that it be erased. If you would like to make a complaint about the way we have processed your personal data, you can contact us to investigate the matter.
If you are dissatisfied with our response or believe that our processing of your personal data is not in accordance with the law, you can send an email to info@transpatents.com

SECTION 2: PERSONAL DATA CONTAINED IN TRANSLATION DOCUMENTS

As the primary data controller, it is your responsibility to ensure that you have the data subject’s consent or other lawful reason to send us a translation text containing personal data.
This is especially true for a document (text) containing special categories of personal data.
Https://www.transpatents.com/ acts as both data processor and joint controller of the personal data contained in the translation documents. This is because, in order to carry out the orders you have placed with us, in some cases we need to engage subcontractors and therefore have responsibility for how your data reaches them.

What we do with personal data in translation content

We do not extract personal data from the translation content and do not process it outside the context of the translated documents.

For IT hosting and maintenance purposes, files are stored on servers within the European Union.

We follow an Information Protection Policy to control the efficient and secure processing of data in translation documents, including personal data.

All translation documentation is shared via secure means with an approved and compliant third party language service provider as part of pre-translation enquiries and then as part of the completion of the commissioned order.

Transfer of data to a third country

For the performance of some contracts (translation orders) we will need to transfer data to language service providers inside and outside the EU. This is because most Chinese translators, for example, are based in China. If we need to send a document outside the EU/EEA to fulfil our contract with you (in accordance with Article 49b of the GDPR), we will inform you of this. It is up to you to ensure that the data subject is aware of this and to obtain their explicit consent. For more information, please refer to the Third Country Data Transfer Policy as well as our Information Protection Policy.

Special categories of personal data

If your records contain special categories of personal data belonging to a third party, it is your responsibility to obtain the relevant consent and establish lawful grounds for processing that data under Articles 6 and 9 of the Regulation.

We will make every effort to identify the special categories of personal data in the documents you provide to us for translation before the start of the work process so that appropriate measures can be taken.

Before we begin the translation workflow, we may ask you to redact identifiable information to minimise the risk to the data subject, particularly if the translation order will require the document to be sent to a third party language service provider outside the EU/EEA.
Documents containing special categories of personal data will not be stored in the translation memory.
